Communications & School Publications

WOLFNET RESOURCE BOARD

Our student/family management platform, WolfNet, includes a detailed school calendar, your child’s account, forms, class information, progress reports, accounts/billing, and a resource board, which includes event registrations and individual boards for PVG, clubs, handbooks, lunch ordering, The Howl newsletter, etc.

Parents can access WolfNet, which is password protected, on the WPGA homepage (under WolfNet login). If you have difficulty logging into WolfNet, contact our IT department at onlinesupport@wpga.ca.

THE HOWL NEWSLETTER

Our weekly newsletter, The Howl, is our primary source of information and is emailed to parents, senior school students and staff every Thursday afternoon. Please read The Howl, as it includes important event updates and reminders. If you are not receiving the Howl (or other school communications), please check your WolfNet account to ensure your email address is correct. If you are still not receiving school communications, contact our IT team at onlinesupport@wpga.ca.

DAILY ANNOUNCEMENTS (SS)

Senior reception emails senior school students a bulletin every school day at 3:30pm with time-sensitive reminders and information. Parents who wish to receive the daily announcements (DAs) can email ssoffice@wpga.ca to be added to the distribution list.

WEEKLY TEACHER EMAILS (JS)

Every Friday, junior school teachers share a weekly email with parents outlining events and activities for the following week.

STAFF EMAIL POLICY

For concerns related to teaching and learning, your child’s homeroom or subject teacher is the first point of contact. Please email your child’s teacher to discuss. If the conversation requires administrative support, the teacher will involve school leadership. School policy is to email between 6am and 6pm; teachers are not required nor encouraged to email outside school hours (unless for a specific school purpose, e.g. athletics or co-curricular event occurring outside school hours).

Staff email addresses are generally formatted as the staff member’s first initial + last name + @wpga.ca (jdoe@wpga.ca).

SOCIAL MEDIA GUIDELINES

WPGA uses Instagram (@westpointgreyacademy) to celebrate student achievements and school life. Our Parent Volunteer Group has an Instagram page (@wpgaparentvolunteer) open to all members of the WPGA community; please request to join the group; once your identity is confirmed, the request will be accepted.

PHOTOGRAPHY & IMAGE CONSENT

Teachers, staff, and professional photographers (accompanied by school staff) take photos of students and school activities throughout the year for the WPGA website, class photo-sharing apps (SeeSaw), social platforms, The Howl newsletter, promotional videos, yearbook, Annual Report, and other school publications. These photos are for the explicit use of WPGA; the school does not allow external organizations to use student images for their marketing or other purposes.

If you elect to have your child on our no-image list (part of school start-up forms), please note that you then elect to exclude their image from school life photo documentation, including class projects, performances, and field trips. If you have any questions about image consent, please contact Megan MacMillan, Director of Communications.

Note WPGA will seek parent permission, regardless of image status, before featuring any student in external publications and advertisements, e.g. Globe & Mail. The school does not include student last names or identifying details on social media without student or parental consent.

PRIVACY POLICY

WPGA collects personal information in the process of educating students. Consent is obtained at the beginning of every school year and as needed. Personal information about students, including academic results, activities, health and behaviour, is routinely disclosed to and used by teachers, counsellors and administrators to record academic progress, plan individual and class lessons, and identify and provide student support. Accuracy, retention, safeguards and individual access are ensured, as required by law. For more information on our privacy policy, consult Leanne Schultz, WPGA Privacy Officer.
